Privacy Policy

1. Who processes the data and where this Policy applies

1.1. The controller of personal data is sole proprietor (FOP) Oleksii Oleksandrovych Melnychenko, taxpayer registration number (RNOKPP) 3105603136 ("LightSEO", "we"). Contact details are given in section 13.

1.2. This Policy applies to the website https://lightseo.com.ua/, contact forms, communication by e-mail and in messengers, invoicing, the conclusion of contracts and the provision of services.

1.3. If, while providing services, we gain access to data of the Client's customers, employees or users, the Client remains the controller, and LightSEO acts as a processor only on the Client's documented instructions and within the scope of the contract.

2. What data we may process

  • Contact data: first name, last name, phone, e-mail, messenger username and the preferred communication channel.
  • Contractual and accounting data: status as an individual, sole proprietor (FOP) or company, name, RNOKPP/EDRPOU code, address, bank and payment details, invoices, completion certificates and payment history.
  • Inquiry and project data: comments, correspondence, records of approvals, descriptions of the business, website, products or services, materials, files, technical specifications and commercial proposals.
  • Technical website data: IP address, device and browser type, language, time of visit, pages viewed, referral source and cookie identifiers, if they are used.
  • Account and access data needed to provide the services. We ask for role-based or temporary access instead of sharing the main password.

3. Purposes of processing

  • to receive and process a request, get in touch and provide a consultation;
  • to prepare a commercial proposal, technical specification, invoice or contract;
  • to conclude and perform a contract, provide a service, deliver a result, report or completion certificate and provide support;
  • to keep accounting and tax records, accept payments and comply with legal requirements;
  • to protect accounts, the website, property rights and legitimate interests, prevent abuse and resolve claims;
  • to analyze the use of the website and improve how it works;
  • to send news or marketing messages only where there is a proper basis and with the option to opt out.

4. Legal grounds

4.1. Depending on the situation, we process data on the basis of: steps taken before entering into a transaction and its performance; obligations established by law; consent – where it is required; and the legitimate interest of LightSEO or third parties, unless the rights of the data subject prevail.

4.2. Withdrawal of consent does not affect the lawfulness of prior processing and does not stop processing that is required on another legal basis.

5. Cookies, analytics and third-party technologies

5.1. The website may use necessary cookies for the operation of forms and security, as well as analytics or advertising technologies, in particular Google or Meta services, if they are connected to the website.

5.2. Necessary cookies are used for the operation of the website. For other cookies, we obtain consent where the law requires it. Users can manage cookies in their browser settings; disabling some of them may affect how the website works.

5.3. Third-party services process data under their own policies. The current set of technologies may change when the website is updated.

6. Who data may be shared with

  • LightSEO employees and contractors who need the data for their work and are bound by confidentiality obligations;
  • providers of hosting, the website platform, e-mail, cloud storage, CRM, project management, electronic document management, analytics and advertising – only to the extent necessary;
  • banks, accountants, auditors, lawyers and consultants – for accounting, performance of the contract and protection of rights;
  • government authorities and other persons, if this is expressly provided for by law or necessary to protect rights or vital interests.
  • LightSEO does not sell personal data.

7. Cross-border processing

7.1. Certain providers of cloud, communication, analytics and advertising services may process data outside Ukraine. In such cases, the transfer takes place where there is a basis provided for by law and with appropriate safeguards in place.

8. Retention periods

8.1. We keep data only for as long as necessary for the relevant purpose, compliance with the law and protection of rights. The period depends on the type of data, the duration of the cooperation, tax/accounting requirements and limitation periods.

8.2. Data from an inquiry that did not lead to a project is usually kept for up to 3 years after the last contact, unless there is a basis for longer retention. Contractual, accounting and project materials are kept for the term of the contract and after its completion to the extent legally required.

8.3. Access to accounts is kept only for the period during which services or support are provided. After the cooperation ends, the Client should revoke role-based access and change critical passwords.

9. Security

9.1. LightSEO applies reasonable organizational and technical measures, in particular access restrictions, passwords, two-factor authentication and backups, where appropriate. No method of transmission or storage can guarantee absolute security.

10. Rights of the personal data subject

10.1. You have the rights provided for by Article 8 of the Law of Ukraine "On Personal Data Protection", in particular: to know the sources of collection, the location of the data, the purpose and the recipients; to obtain access; to demand the correction or deletion of inaccurate or unlawfully processed data; to object to processing; to withdraw consent; to apply to the Ukrainian Parliament Commissioner for Human Rights or to a court.

10.2. To protect the data, we may ask you to confirm your identity and the content of the request. The right to deletion does not extend to data that we are obliged or entitled to keep by law.

11. Data of other persons, minors and third-party links

11.1. By providing us with another person's data, you confirm that there is a legal basis for such a transfer. Do not send us excessive, special-category or sensitive data unless this has been expressly agreed.

11.2. LightSEO services are aimed at commercial projects and are not intended to be ordered by children on their own. If we learn that a child's data has been provided without a proper basis, we take steps to delete it.

11.3. External links lead to services of other persons, which have their own data processing rules.

12. Changes to the Policy

12.1. We may update this Policy due to changes in the website, services or legislation. The current version is published on the website with its effective date. Where possible, significant changes are brought to the attention of the persons they concern.
